What information we collect, use, and why
We collect or use the following information for club administration, to receive donations and subscriptions, and organise activities:
- Names and contact details
- Addresses
- Tax payer information (for Gift Aid purposes)
- Photographs or video recordings (in connection with the AGM and Trustee Board meetings).
- Payment history of membership and method of payment
- Records of meetings and decisions and their attendance.
- Information provided by members with regards to their St Kilda work parties and visits.
We collect or use the following information to provide services and goods (e.g. the Reunion):
- Names and contact details
- Pronoun preferences
- Addresses
- Dietary information (including allergies and health conditions)
- Payment history.
We collect or use the following personal information for service updates or marketing purposes:

Lawful bases and data protection rights

Our lawful bases for the collection and use of your data
Our lawful bases for collecting or using personal information for the purposes of administering the Club, receiving subscriptions or donations, organising and marketing activities (e.g. AGM and reunion) as well as providing updates and Club publications, including delivery, are:
- Consent – we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time
- Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.
- Legitimate business interests – We collect and process your personal data for purposes that are in our legitimate organisational interests, such as marketing. However, we only do this if there is no overriding prejudice to you by using your personal information in this way.
- Legal obligation – we have to collect or use your information so we can comply with the law. All of your data protection rights may apply, except the right to erasure, the right to object and the right to data portability.
